1. Information We Collect
Information you give us directly
- Contact and identity details: name, email address, phone number, city/country, and time zone.
- Professional background: current role, employer, years of experience, salary range, career goals, resume or LinkedIn profile, and similar details you submit through career calls, assessments, audit tools, or applications.
- Enrollment and payment information: program selected, cohort, enrollment agreements, and invoices. Card details are collected and processed by our payment processor; we do not store full payment card numbers on our systems.
- Coursework and learning data: assignments, project submissions, assessments, attendance, progress, certificates, and instructor or mentor feedback.
- Communications: messages you send us by email, chat, text message, contact form, or social media, and the content of support tickets.
Information collected automatically
- Log and device data: IP address, browser type and version, operating system, internet service provider, referring and exit pages, date and time stamps, and clickstream activity.
- Cookies and similar technologies: as described in Section 7.
- Email and message engagement: whether you opened an email, which links you clicked, and delivery status of text messages.
Information from other sources
- Advertising and social platforms (e.g., lead forms you submit on Meta, LinkedIn, or Google).
- Webinar, scheduling, and event platforms you use to register with us.
- Publicly available professional sources and business data providers, where permitted by law.
- Referral partners, employers, and sponsors where a third party is funding your enrollment.
2. Calls, Recordings, and Automated Systems
We may place and receive calls with you regarding your inquiry, application, or enrollment.
- Recording and transcription. Calls may be recorded and transcribed for quality assurance, training, record-keeping, and service improvement. Where recording requires the consent of all parties, we will notify you at the start of the call and you may decline; if you do not wish to be recorded, tell us and we will continue without recording or arrange an alternative.
- Automated and AI-assisted systems. Some calls and messages may be handled or assisted by automated or AI-powered systems, including automated voice assistants used for scheduling and initial qualification. You may ask to speak with a human representative at any time.
- Use of recordings. We use recordings and transcripts internally for the purposes above. We do not sell recordings or transcripts.
Recordings and transcripts are retained for 12 months, unless a longer period is required for legal, contractual, or dispute-resolution purposes.
3. Email Communications and Your Opt-Out Rights
What we send. We send two categories of email:
- Transactional and service emails — enrollment confirmations, payment receipts, class schedules, platform notices, support responses, and policy updates. These relate to your account or a service you requested. You cannot unsubscribe from essential service emails while you have an active account or enrollment, though you can close your account.
- Marketing emails — program announcements, webinar and workshop invitations, career content, promotions, and newsletters.
How to opt out of marketing email. You can stop marketing email at any time by:
- clicking the Unsubscribe link in the footer of any marketing email from us; or
- emailing privacy@syntaxtechs.com with the subject line “Unsubscribe” and the email address you want removed; or
- writing to us at the postal address in Section 14.
We will process your request within 10 business days, as required by the CAN-SPAM Act. You may continue to receive already-queued messages for a short period after opting out. Opting out of marketing email does not remove you from transactional emails tied to an active enrollment.
Every marketing email we send includes a clear unsubscribe mechanism, a truthful subject line, and our valid physical postal address.
4. Text Messages (SMS/MMS) and Your Opt-Out Rights
Consent. We send text messages only to individuals who have given prior express consent — for example, by entering a mobile number on a form and checking the SMS consent box, by texting a keyword to our number, or by providing your number and agreeing to receive texts during a call or enrollment.
Consent is not a condition of purchase. You are not required to agree to receive marketing text messages in order to enroll in any program or purchase any service from Syntax Technologies.
What we send. Appointment and class reminders, enrollment and payment notices, support replies, and — where you have consented — program announcements, webinar invitations, and promotional offers.
Message frequency. Message frequency varies, up to 2 messages per week.
Costs. Message and data rates may apply. Charges are set by your mobile carrier and are your responsibility.
How to opt out. Reply STOP to any text message from us. You will receive a single confirmation message, and we will send no further marketing or promotional texts to that number. You may also opt out by emailing privacy@syntaxtechs.com with your mobile number, or by asking any Syntax representative during a call.
To rejoin after opting out, reply START or UNSTOP to the same number, or re-enroll through any Syntax form.

Carrier disclaimer. Mobile carriers are not liable for delayed or undelivered messages. Supported carriers may change without notice.
Mobile opt-in data. We do not sell, rent, or share mobile phone numbers or SMS consent data with third parties or affiliates for their own marketing purposes. Mobile information is shared only with subprocessors who deliver messages on our behalf (our SMS platform and telecom providers), and only for that purpose.
5. Telephone Calls and the Do-Not-Call Registry
If you have asked us not to call you, we will honor that request and add you to our internal do-not-call list. To make that request, email privacy@syntaxtechs.com or tell any representative during a call. Internal do-not-call requests are honored indefinitely.
Where we place calls using an automatic telephone dialing system or a prerecorded or artificial voice for marketing purposes, we do so only with your prior express written consent, which you may revoke at any time by any reasonable means.
6. How We Use Your Information
We use personal information to:
- provide, administer, and improve our courses, workshops, and learning platforms;
- process enrollments, payments, refunds, and financing arrangements;
- respond to inquiries and provide student and technical support;
- schedule and conduct career calls, webinars, and advising sessions;
- send the communications described in Sections 3, 4, and 5;
- personalize content and program recommendations;
- measure and improve our marketing, including advertising on third-party platforms;
- detect, prevent, and investigate fraud, abuse, and security incidents;
- comply with legal, tax, accreditation, and recordkeeping obligations; and
- establish, exercise, or defend legal claims.
Automated decision-making. We do not make decisions producing legal or similarly significant effects about you based solely on automated processing. Where AI tools assist with tasks such as summarizing calls, drafting responses, or scoring inquiries, a human reviews any material decision about your application or enrollment.
7. Cookies and Tracking Technologies
Verify before publishing. Confirm with your web team exactly which tags are live in Google Tag Manager (container GTM-PLDG59V) and edit this list to match. Do not list a tool you don’t run, and do not omit one you do.
We and our partners use cookies, pixels, and similar technologies for:
- Strictly necessary functions — login, security, and site operation.
- Analytics — understanding how visitors use our sites, via Google Analytics deployed through Google Tag Manager.
- Advertising — measuring campaign performance and showing you relevant ads on third-party platforms such as google & meta ads.
Cookie and analytics data is retained for 12 months.

Global Privacy Control. We honor the Global Privacy Control (GPC) signal as a valid opt-out of the sale or sharing of personal information for browsers where it is enabled.
8. How We Share Information
We share personal information with:
- Customer relationship management platforms. We use HubSpot and Pipedrive to manage inquiries, enrollments, and communications. Contact details, professional background, communication history, and enrollment status are stored in these systems.
- Other service providers who process data on our behalf under contract, including hosting, email delivery, SMS delivery, payment processing, scheduling, analytics, our learning platform, and call transcription providers.
- Advertising and analytics partners, as described in Section 7. Under California law, some of this activity may qualify as “sharing” for cross-context behavioral advertising; see Section 10.
- Instructors, mentors, and teaching assistants, limited to what is needed to deliver instruction and feedback.
- Employers or sponsors where a third party funds your enrollment, limited to enrollment status and progress.
- Professional advisors — lawyers, accountants, auditors — under confidentiality obligations.
- Authorities and other parties where required by law, subpoena, or to protect rights, safety, or property.
- Acquirers in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
We do not sell your personal information for money. We do not sell or share mobile phone numbers or SMS consent data under any circumstances (Section 4).
9. Data Retention
We keep personal information only as long as needed for the purposes described here:
We retain suppression lists permanently because deleting them would cause us to contact you again after you asked us not to.
10. Your Privacy Rights
10.1 U.S. State Privacy Rights
Depending on your state of residence, you may have the right to:
- Know / access the categories and specific pieces of personal information we have collected;
- Delete personal information we hold about you;
- Correct inaccurate personal information;
- Opt out of the sale or sharing of personal information and of targeted advertising;
- Portability — receive your information in a portable format;
- Limit the use of sensitive personal information;
- Non-discrimination — we will not deny service, charge different prices, or provide a lower quality of service because you exercised a privacy right.
These rights are available to residents of California, Virginia, Colorado, Connecticut, Texas, and other states with comprehensive privacy laws, subject to each state’s thresholds and exceptions.
Do Not Sell or Share My Personal Information. To opt out of cross-context behavioral advertising, use the link in our website footer, enable Global Privacy Control in your browser, or email privacy@syntaxtechs.com.
How to exercise. Email privacy@syntaxtechs.com or write to the address in Section 14. We will verify your identity before acting and respond within 45 days, with one 45-day extension where permitted. An authorized agent may submit a request on your behalf with proof of authorization.
Appeals. If we decline your request, you may appeal by replying to our decision with “Appeal” in the subject line. We will respond within 60 days. Virginia residents may contact the Office of the Attorney General of Virginia if you have concerns about the outcome of an appeal.
10.2 GDPR / UK GDPR Rights
If you are in the European Economic Area, United Kingdom, or Switzerland, you have the rights to access, rectification, erasure, restriction, portability, objection, and to withdraw consent at any time without affecting the lawfulness of prior processing.

International transfers. We are based in the United States and transfer personal information there. Where required, we use Standard Contractual Clauses or another approved transfer mechanism. Contact us for a copy of the safeguards in place.
You have the right to lodge a complaint with your local supervisory authority.
11. Security
We maintain administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls and least-privilege permissions, contractual security requirements for service providers, and periodic review of our systems.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and any relevant regulator as required by applicable law, including the Virginia breach notification statute.
12. Children’s Privacy
Our Services are intended for adults. We do not knowingly collect personal information from anyone under 16.
- We do not knowingly collect personal information from children under 13, consistent with COPPA.
- We do not sell or share the personal information of anyone under 16.
- Learners aged 16–17 may participate only with the consent and involvement of a parent or legal guardian.
If you believe a minor has provided us with personal information, contact privacy@syntaxtechs.com and we will delete it promptly.
13. Changes to This Policy
We may update this policy from time to time. We will revise the “Last updated” date above and, for material changes, provide notice by email or a prominent notice on our website before the change takes effect. Continued use of the Services after the effective date constitutes acceptance of the updated policy.

15. Governing Law
This policy is governed by the laws of the Commonwealth of Virginia and the federal laws of the United States, without regard to conflict-of-law principles, except where a privacy law of your own state or country grants you rights that cannot be waived.
